This Privacy Policy explains how your personal data will be collected and used when you register to attend the IRE (International Rental Exhibition) and APEX (International Access Platform Exhibition) events, taking place in Maastricht, the Netherlands in June 2026. It applies specifically to registrations made via our event registration platform and related services.

Who we are
The Events are jointly organised by KHL Group Ltd (Southfields, South View Road, Wadhurst, East Sussex, TN5 6TP, UK) and Industrial Promotions International B.V. (“IPI”), based in the Netherlands. For the purposes of data protection law, KHL and IPI act as joint data controllers. Event registration services are provided by LiveBuzz Ltd, who acts as our data processor.

What personal data we collect
When you register or attend the Events, we may collect your name, job title, company, address, email, phone number, badge type, ticket category, special requirements, payment information processed securely by LiveBuzz, badge scans at entry points, seminars and exhibitor stands, and your marketing preferences and consents.

How we use your data
Your personal data is used to process your registration and issue entry badges, to manage your attendance and communicate with you before, during and after the Events, to administer payments where applicable, to manage access to sessions and exhibitors through badge scanning, to provide exhibitors and sponsors with your details if you allow them to scan your badge, and to send you information about these Events and related industry events unless you opt out. The legal bases for processing include contract, legitimate interests and, where applicable, your consent.

Data sharing
Your data may be shared with IPI as joint organiser, with LiveBuzz Ltd as our registration platform provider, with exhibitors and sponsors if you allow your badge to be scanned by them, and with other service providers such as IT, payment and analytics providers under strict safeguards. If you allow your badge to be scanned by an exhibitor or sponsor, they will act as a data controller and may contact you in line with their own privacy policies. We do not sell attendee data.

Badge scanning
If you attend a seminar or allow your badge to be scanned, your details including name, company, role and contact information will be passed to the exhibitor or sponsor. They may then contact you for marketing or business purposes. KHL and IPI may also receive scan data for analytics purposes. By choosing to have your badge scanned, you agree to this transfer.

International transfers
As KHL operates globally, we may transfer your data outside the European Economic Area. Where we do so, we implement safeguards such as Standard Contractual Clauses to protect your data.

Retention
Registration and attendance data will normally be retained for up to three years after the Events for reporting, marketing and audit purposes. Financial transaction data will be retained for seven years to comply with tax laws. You may unsubscribe from marketing at any time.

Security
We use secure servers and encryption protocols to protect your data. Access is limited to authorised staff, organisers and service providers.

Your rights
Under GDPR you have the right to access a copy of your data, request correction or deletion, restrict or object to processing, withdraw consent where applicable, and request data portability. You can exercise these rights by contacting us.
